As our new Business Coordinator - Commercial Claims in Spare Parts Sales Support, you will become part of a dedicated team supporting our 2-stroke engine customers across Europe and our international sales hubs. 

You will be responsible for coordinating and processing claims cases, collaborating with customers and internal stakeholders and ensuring timely and accurate handling of claims and related documentation.

In this newly established role, you will play an important part in maintaining customer satisfaction, driving effective communication across functions, and supporting continuous improvement of our claims processes and reporting. 

Through close cooperation with customers, IGCs (International Group Company), workshops and colleagues across the organization, you will contribute to delivering a professional and efficient customer experience

As a business Coordinator in Spare Parts, you will be the first point of contact for incoming customer claims. The primary responsibility is to assess, validate and prepare claims cases before handing them over to the Claims department for further processing.

You will play an important role in:


Business Coordinator (Commercial claims Role)

  • Coordinate and process administrative claims cases from receipt to submission.
  • Review claim documentation and ensure completeness, accuracy, and compliance with company and commercial procedures.
  • Liaise with customers, IGCs (International Group Company) and internal stakeholders regarding claims-related matters.
  • Follow up on open claims and pending cases to ensure timely resolution.
  • Register, monitor, and update administrative claims in relevant systems.
  • Support root cause investigations and implementation of corrective actions when required.
  • Maintain accurate claims records, documentation and system data.
  • Prepare claims reports, status updates and KPI tracking for stakeholders and management.
  • Ensure compliance with internal guidelines, quality standards, and contractual requirements.

 

In addition to the core Claims responsibilities, the role may provide support within the Sales Coordination function during periods of increased workload or change in business priorities.

 

Sales Coordinator Role

  • Handle customer inquiries, quotations, orders, and related administration.
  • Provide customer support and manage correspondence with customers and IGCs.
  • Coordinate with internal stakeholders to ensure efficient order follow-up and issue resolution.
  • Manage shared mailbox activities and general administrative tasks.
  • Support ad hoc operational activities as required.

We imagine that you:

  • Minimum 3-5 years of experience in sales support, order management, customer service, claims administration or a similar operational role within an international business environment.
  • Proven track record of managing complex customer and stakeholder interactions, balancing multiple priorities while delivering a high level of accuracy and service. Confidence using ERP systems, CRM platforms, or other business systems, as well as Microsoft Office applications, particularly Excel and Outlook.
  • Excellent communication skills in English, with the ability to build trusted relationships and collaborate effectively across teams, functions, and cultures.
  • Ability to work independently, identify process improvements and take ownership of issue resolution from start to finish.
  • Experience supporting a high-volume, fast-paced commercial organization is considered a strong advantage.
  • A proactive, positive, and solution-oriented mindset, with a genuine willingness to support colleagues, share knowledge, and contribute to team success.

About the team

You will be a part of The Sales Support team consisting of in total 20-25 Technical Sales Engineers, 20-25 Sales Coordinators and 6 Student Assistants located in our office in Copenhagen.
Cooperation is key to us, and we work closely within the team as well as with colleagues from Sales, Sourcing, Shipping and many other departments to offer the best possible customer support.
